Project Coordinator
Position Overview
Our client is seeking a highly organized Project Coordinator to support a team managing multiple Commercial HVAC projects. This role serves as a critical liaison between Project Managers, subcontractors, vendors, technicians, and accounting functions to ensure projects move smoothly from initiation through completion.
This is a blend of project coordination, project support, vendor management, and light accounting/administrative responsibilities rather than a traditional accounting position. The ideal candidate will have experience supporting projects in industries such as construction, HVAC, plumbing, facilities services, real estate, or other field service environments.
Key Responsibilities
- Support multiple Project Managers across a high volume of active projects.
- Process invoices, purchase orders, goods receipts, and project-related billing activities.
- Enter and maintain project information within SAP S/4 and other company systems.
- Coordinate subcontractor onboarding and vendor setup activities within Salesforce.
- Maintain project tracking logs, booking logs, and project documentation.
- Order project materials and coordinate deliveries as needed.
- Schedule and dispatch service technicians to customer sites.
- Work closely with vendors, subcontractors, and internal stakeholders to ensure project timelines are met.
- Monitor project documentation for accuracy and completeness.
- Assist with accounts payable and project-related financial tracking.
- Research and resolve invoice discrepancies, vendor issues, and project support requests.
- Provide administrative support to Project Managers and operations teams.
Qualifications:
Required Qualifications
- High School Diploma or GED required.
- 2+ years of experience in project coordination, project support, administrative support, or assistant project management.
- Experience processing invoices, purchase orders, or project-related billing.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Experience supporting high-volume project environments.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Strong communication and customer service skills.
- Ability to work independently and collaborate across multiple teams.
Preferred Qualifications
- Experience supporting Commercial HVAC, construction, facilities services, plumbing, electrical, or similar service-based industries.
- Experience with SAP S/4.
- Experience with Salesforce.
- Knowledge of subcontractor onboarding, vendor management, and dispatch coordination.
- Experience as a Project Support Coordinator, Project Coordinator, Assistant Project Manager, or similar role.
Compensation
