Position Overview

The Project Coordinator will play a key role in coordinating engineering workload, priorities, and resource assignments across Kinetics’ engineering market groups, including HVAC, Building Acoustics, Room Acoustics, and Industrial / Environmental applications.

This position is responsible for maintaining visibility of incoming and active engineering work, coordinating project priorities, balancing workload across available resources, and helping minimize time-in-engineering. The role requires more than maintaining a schedule board. The ideal candidate must understand Kinetics’ products, applications, work types, designer capabilities, checking requirements, customer priorities, and offshore resource utilization.

This position will work closely with Engineering Supervisors, the Engineering Coordinator, design teams, offshore resources, Sales, Customer Service, Operations, and Engineering leadership to ensure that engineering work is assigned, tracked, adjusted, and communicated effectively.

Core Functional Responsibilities

1. Project Execution & Coordination (Primary Focus)

  • Own day-to-day execution of projects post-order, ensuring all activities progress on schedule
  • Manage and track key project milestones including submittals, RFIs, lead times, production, and delivery
  • Coordinate long lead-time projects in partnership with CSR and operations teams
  • Proactively follow up across internal stakeholders to remove roadblocks and maintain project momentum
  • Track and manage time-intensive coordination activities that extend beyond order entry

2. Sales Support & Workload Offload

  • Act as an extension of the engineering team by assuming post-order coordination responsibilities
  • Reduce administrative burden on sales by managing detailed follow-up, documentation, and project tracking
  • Support deposit tracking and alignment with internal financial processes
  • Ensure smooth handoff from sales to execution, maintaining continuity for customers and representatives

3. Cross-Functional Coordination & Internal Navigation

  • Serve as the central liaison across: 
    • Engineering
    • Customer Service (CSR)
    • Operations / Production
    • Scheduling and Procurement
    • Finance / AR
  • Demonstrate strong knowledge of internal processes, including when and where to engage engineering and how to drive timely follow-up
  • Facilitate communication between internal teams and external representatives to ensure alignment and accountability

4. Representative & Customer Interface

  • Support manufacturer representatives and customers throughout project execution
  • Provide proactive updates and ensure clear communication on timing, deliverables, and changes
  • Act as a key contact point for complex or long-duration projects
  • Strengthening overall customer experience by ensuring responsiveness and follow-through

5. Project Controls, Tracking & Documentation

  • Maintain structured project documentation including: 
    • Submittal logs
    • RFI tracking
    • Change orders
    • Project status updates
  • Track project progress and ensure visibility into status and risks
  • Identify inefficiencies in workflow and help shift repeatable, time-consuming tasks into this role

6. Risk Management & Issue Resolution

  • Identify potential risks related to schedule, scope, or coordination early
  • Escalate issues and drive resolution across internal teams
  • Ensure accountability for follow-up actions and deadlines

7. Process Improvement & Department Scaling

  • Support broader restructuring efforts by helping define how project coordination is executed
  • Assist in evolving the customer service function to better support go-to-market strategy
  • Identify opportunities to centralize and standardize coordination work
  • Contribute to elevating the role and capability of the Customer Service organization

Qualifications

  • Associate’s degree, bachelor’s degree, technical certification, or equivalent practical experience in engineering, manufacturing, project coordination, operations, or a related technical field.
  • 3–7+ years of experience in project coordination, customer service, or operations within a manufacturing or engineered products environment
  • Experience working in a custom engineered product environment.
  • Strong understanding of internal coordination workflows (engineering, production, scheduling)
  • Proficiency in project tracking tools and ERP/CRM systems
