Administrative Assistant
Responsibilities:
• Review and refine item master records in NetSuite, ensuring catalog, assembly, purchased items, and bills of materials are complete and accurate.
• Audit vendor profiles and correct incomplete, outdated, or inconsistent account details to strengthen data reliability.
• Organize and update tax-related vendor documentation, including validating exemption records, converting paper W-9s into digital files, and correcting tax identification data.
• Identify overlapping or duplicate vendor and account records across multiple locations and prepare them for consolidation.
• Build clear data summaries, cleanup logs, and exception reports for review and approval by designated business stakeholders.
• Investigate data issues thoroughly and take independent action to resolve routine discrepancies while elevating complex concerns as needed.
• Maintain strong data integrity standards by performing careful validation checks throughout the cleanup process.
Qualifications:
• 2+ years of experience in an administrative, data entry, or records management role.• Previous hands-on experience using NetSuite is required.
• Demonstrated ability to perform data cleanup, validation, and accuracy checks across large sets of information.
• Strong attention to detail with the ability to spot inconsistencies and missing information quickly.
• Ability to work independently, manage priorities effectively, and follow through on assigned tasks.
• Comfortable asking questions, clarifying requirements, and escalating unresolved issues appropriately.
• Experience maintaining vendor files, supporting data integrity, and handling administrative documentation in a detail-focused environment.
Compensation
