Customer Service Representative
Responsibilities:
• Welcome clients, visitors, and team members with a detail-oriented and supportive approach at designated outpatient sites.
• Manage check-in and check-out activities efficiently while verifying and updating client information for accuracy.
• Coordinate appointments for clients and providers, including outreach for confirmations and follow-up related to missed visits.
• Accept payments, provide receipts, and reconcile the cash drawer at the end of each assigned shift.
• Partner with clinical teams to help maintain smooth movement of clients through scheduled services and address pending concerns.
• Carry out assigned opening and closing tasks to keep the front office prepared for daily operations.
• Route incoming faxed documents and support timely administrative distribution when needed.
• Gather client feedback through satisfaction surveys and support accurate data entry in agency systems.
• Travel to other local service locations when coverage is needed, with mileage reimbursement provided for eligible daytime travel.
Qualifications:
• Previous experience in customer service, front desk support, call center operations, or a similar client-facing role.• Ability to communicate with empathy and professionalism when assisting individuals who may be upset, anxious, or in crisis.
• Strong administrative skills, including data entry, appointment scheduling, inbound call handling, and email communication.
• Comfort working in a healthcare, behavioral health, or other sensitive service environment is preferred.
• Ability to manage multiple tasks accurately while maintaining a welcoming and organized reception area.
• Reliable transportation and willingness to commute to other nearby locations for coverage as needed.
• Proficiency with basic computer systems and the ability to learn agency software and documentation procedures quickly.
Compensation
