Contracts Administrator
A well-established Bay Area real estate development company is seeking a Contracts Administrator to support its Development and Investment team on a long-term contract basis. This position requires onsite presence in Foster City and will work closely with project managers, consultants, contractors, vendors, accounting personnel, and company leadership to coordinate and administer contracts throughout the lifecycle of commercial and residential development projects. The ideal candidate will have experience supporting contract administration activities within the architecture, engineering, construction, or real estate development industries, including experience working with architect, engineer, consultant, contractor, and vendor agreements. This role requires strong organizational skills, attention to detail, sound business judgment, and the ability to manage multiple projects and deadlines in a fast-paced environment.
Key Responsibilities
- Manage the full lifecycle of contracts from initiation through execution, tracking, billing, and closeout
- Draft, review, process, and maintain contracts, purchase orders, change orders, consultant agreements, and related project documentation
- Coordinate contract routing, revisions, approvals, negotiations, and execution with internal stakeholders and external vendors
- Support the onboarding of architects, engineers, consultants, contractors, subcontractors, and other project vendors
- Assist with the preparation and administration of Requests for Qualifications (RFQs), Requests for Proposals (RFPs), and bid-related documentation
- Analyze contract requirements, identify potential risks or conflicts, and escalate issues as appropriate
- Track contract status, key milestones, deliverables, and project deadlines
- Review insurance certificates and supporting documentation for contractual compliance
- Maintain contract tracking systems and documentation throughout the project lifecycle
- Process project-related invoices, billing documentation, expense tracking, and contract-related financial records
- Support project billing activities and coordinate contract administration requirements associated with active construction and development projects
- Maintain organized contract and project files, ensuring records are accurate, complete, and audit-ready
- Communicate regularly with project managers, consultants, contractors, accounting personnel, and other stakeholders regarding contract status and project requirements
- Assist with project closeout activities, including collection of final documentation, compliance materials, and contract records
Qualifications:
- Bachelor's degree preferred; equivalent combination of education and relevant experience will be considered
- Minimum of 4 years of experience as a Contracts Administrator within the construction, real estate development, architecture, or engineering industries
- Experience drafting, negotiating, administering, and tracking consultant, contractor, architect, engineering, vendor, and/or construction-related agreements
- Experience preparing, reviewing, tracking, and maintaining contracts, purchase orders, change orders, consultant agreements, and related project documentation
- Experience supporting RFQs, RFPs, bid processes, vendor onboarding, and procurement activities
- Experience reviewing insurance certificates, compliance documentation, and contractual requirements for vendors, consultants, contractors, and subcontractors
- Strong understanding of contract administration principles, contract lifecycle management, document control, and risk mitigation practices
- Experience supporting construction administration processes, project billing, project costing, contract tracking, or related development operations
- Familiarity with AIA contracts and construction-related contracting processes strongly preferred
- Proficiency with Microsoft Excel, Word, Adobe Acrobat, and contract, procurement, or project management software
- Exceptional organizational skills with the ability to manage multiple active projects, contracts, and deadlines simultaneously
- Strong written and verbal communication skills with the ability to coordinate effectively across internal stakeholders and external vendors
