Position Title: Graduate Operations Coordinator

Position Summary:
The temporary employee will support the Graduate Studies Office in the College of Engineering (COE) in the following areas:
1) Management of the College’s graduate application system
2) Support graduate student onboarding and enrollment
3) Facilitate student progression through their degree program

Duties and Responsibilities:
Application System (50%)
  • Manage the College’s graduate application system including but not limited to helping students start and complete their applications, coordinate application review, and confirm their eligibility to enroll.
  • Generate reports on application information.
Onboarding and Enrollment (25%)
  • Assist students with enrollment in College graduate programs, including transferring them to the university system, assigning advisors, and providing support with general questions regarding registration.
  • Support faculty advisors with student registration including PIN generation and degree audits.
  • Facilitate the onboarding of graduate assistant (GA) students.
Degree Progression (20%)
  • Support student progression through their degree program, including managing graduate lists, degree conferral, and thesis/dissertation process.

Other: (5%)
  • Perform otherduties and assist with projects as assigned
Minimum Qualifications:
Formal Education
  • Bachelor’s Degree required
Work Experience
  • 3-5 years of work experience
Work Skills
  • Must be a team player with strong writing, interpersonal, organizational, project management and planning skills. Must be a flexible, upbeat, energetic self-starter who enjoys collaboration with a wide variety of constituencies (departments, college, potential students, and students, etc.).
  • Must have strong communication, problem-solving and decision-making skills with the ability to maintain excellent relationships. The individual must be able to work independently as well as with others in a productive manner. Must have the ability to handle multiple tasks, priorities, and deadlines in a fast-paced, multifaceted environment.
  • Must have a deep commitment to the well-being of the University, a commitment to the University’s mission and heritage, and to serving the needs of a diverse community.
Specific Job Knowledge
  • Knowledge and experience with higher education management software
  • Knowledge and experience with CRM system(s) such as Slate and/or any other state-of-the-art platforms
Equipment Knowledge
  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, SharePoint, etc.)
  • Zoom and other videoconferencing services
Preferred Qualifications:
Work Experience
  • Higher Education experience

Equipment Knowledge
  • Experience with Ellucian/Banner or similar ERP system(s)
  • Experience with DegreeWorks or similar degree auditing tool(s)
  • Experience with Softdocs or similar document management platform(s)
