Position Summary:
The M. Louise Fitzpatrick College of Nursing is seeking applicants for the role of Clinical Compliance Coordinator. In collaboration with the Clinical Compliance Administrator, the Clinical Compliance Coordinator executes compliance processes to ensure nursing student and faculty adherence to the requirements of clinical partners, Villanova University, and the State Board of Nursing. The Clinical Compliance Coordinator notifies admitted students of requirements on admission and ensures that specific requirements remain current throughout all clinical experiences by monitoring progress, and working with students to resolve problems encountered while completing the requirements. The Clinical Compliance Coordinator notifies new and current full and part-time faculty of requirements for onboarding and maintaining employment.
This role ensures that all faculty members remain compliant with background checks, health, licensure, and certification requirements of the University and State Board of Nursing. This individual confirms compliance of all clinical instructors prior to clinical rotations, submits agency-specific written verifications of student and faculty compliance to clinical agencies prior to all clinical/practicum placements for each semester. The Clinical Compliance Coordinator supports the compliance tracking system by assisting users, troubleshooting submission issues, and implementing system updates as directed by the Clinical Compliance Administrator. This role routinely performs audits of student and faculty compliance and maintains confidentiality of all documentation. This role escalates non-compliance and complex cases to the Clinical Compliance Administrator.

Duties and Responsibilities:
Clinical Compliance Monitoring and Verification
  • Monitors student and faculty health, background check, drug screen, licensing, certification requirements, etc. and proactively communicates with students and faculty who are noncompliant, providing direction, problem-solving and follow-up until fully compliant.
  • Corresponds with clinical partners and clinical preceptors concerning verification of requirements and details of clinical placements.
  • Completes and submits multiple agency-specific compliance verifications for upcoming clinical rotations in accordance with contractual agreements with each clinical agency.

Compliance Documentation Review and System Coordination
  • Assists with gathering documentation related to medical exemptions, vaccine refusals, and positive drug screens; refers cases requiring interpretation or exception to the Clinical Compliance Administrator.
  • In collaboration with the Clinical Compliance Administrator, communicates with DISA Healthcare Technologies for the Complio system clinical requirements monitoring and to resolve any system issues.

Compliance Communication and System Support
  • Helps manage the Compliance email account by responding to inquiries and sending notifications to nursing students and faculty of compliance requirements and deadlines for submission.
  • Provides instructions to students and faculty for Complio (online compliance tracking service) including account creation, appropriate package ordering, and procedures for submission of required documentation.
  • Troubleshoots issues with requirements and ordering of compliance packages using the online compliance tracking software.
Minimum Qualifications:
Formal Education
  • Bachelor’s degree required.
Minimum Work Experience
  • Minimum two years experience in a business or academic environment.
  • Must have strong attention to detail and excellent verbal and written communication skills.
  • Must have the ability to work independently under time constraints to meet deadlines throughout each semester, and handle large volume of student and faculty information with absolute confidentiality.
  • Critical thinking skills to be able to escalate sensitive compliance issues appropriately.
  • Must have strong organizational skills and problem-solving ability.
  • Must convey highly professional demeanor and excellent customer service skills, and be a team player.
  • Willing to learn to decipher health-related, drug screening, and background check reports.
  • Administrative skills and office operations, preferably in an academic environment.
  • Proficient in word processing, spreadsheet and database software (Microsoft Office products).
  • Working knowledge of Banner, Zoom, Teams, Complio and other systems. Equipment Knowledge

Preferred Qualifications:
  • Experience related to Student Record systems and Excel preferred
  • Bachelor of Science in Nursing degree
  • Knowledge of background screening processes, immunization and vaccination requirements, tuberculin skin testing and blood assays such as QuantiFERON-TB Gold), drug testing protocols, and cardiopulmonary resuscitation (CPR) certification standards and offerings required for healthcare settings.
  • Experience escalating sensitive compliance issues appropriately

Physical Requirements and/or Unusual Work Hours:
  • Must be able to work nights/weekends as needed to meet clinical deadlines.

Salary Posting Information:
This position falls within hourly grade 12 and the range is $27.58-29.12/hr. The final salary will be determined with consideration of several factors including the selected candidate’s qualifications, department budget availability, market data, and internal equity.
