Payroll Specialist
Responsibilities:
• Administer recurring payroll cycles for employees in the U.S. and abroad, ensuring each run is completed accurately from time entry through final payment and tax processing.
• Partner with third-party payroll vendors and related agencies to support compliance with payroll taxes, insurance obligations, and other statutory requirements.
• Review payroll records and supporting documentation to confirm completeness, resolve discrepancies, and maintain up-to-date files.
• Prepare reconciliations and validate payroll results before release, including confirmed reports, deductions, and exception items.
• Address employee pay questions and investigate payroll-related issues, providing clear follow-up and thorough documentation through resolution.
• Support retirement contribution processing, wage garnishments, leave tracking, and other payroll adjustments in accordance with applicable rules and timelines.
• Coordinate year-end payroll activities such as W-2 distribution and comparable international reporting requirements.
• Produce payroll metrics, ad hoc reports, and accounts payable support documents needed for operational leadership and contractual obligations.
• Contribute to audit activities involving payroll, benefits, and financial records while safeguarding confidential information.
• Manage manual payment requests and help maintain efficient daily payroll operations in a fast-paced setting.
Qualifications:
• At least 5 years of hands-on experience managing full-cycle payroll processing.• Background handling multi-state payroll, with the ability to navigate varying payroll regulations and reporting needs.
• Proficiency with payroll systems such as ADP Workforce Now or similar platforms; experience with Paycom is also valuable.
• Strong Excel and Microsoft Office skills, including the ability to analyze data and prepare accurate reports.
• Demonstrated knowledge of payroll compliance, taxation of employer-paid benefits, and garnishment administration.
• Ability to work independently, prioritize multiple deadlines, and maintain accuracy in a high-volume environment.
• Excellent written and verbal communication skills, with a service-oriented approach to employee support and cross-functional collaboration.
• Associate degree or equivalent combination of education and relevant payroll experience; additional coursework or a college degree is preferred.
