Administrative Assistant
Responsibilities:
• Provide day-to-day administrative support for the tax team by preparing documents, organizing files, and helping maintain efficient office workflows.
• Answer incoming calls, greet visitors, and handle general front-office tasks with professionalism and strong customer service.
• Enter, update, and verify information accurately across internal records, ensuring documents and data remain complete and well organized.
• Use Microsoft Office applications to create correspondence, format reports, manage spreadsheets, and support routine department needs.
• Assist with document management activities, including scanning, routing, and maintaining electronic files within systems such as ShareFile or GoFileRoom.
• Coordinate schedules, manage deadlines, and help the department stay on track during high-volume periods, especially throughout tax season.
• Support accounting-related administrative tasks as assigned while maintaining attention to detail and confidentiality.
• Contribute to team success by adapting to changing priorities, taking on additional responsibilities, and providing dependable onsite support Monday through Friday.
• Work additional hours, including occasional weekends, when business demands increase during peak filing periods.
Qualifications:
• At least 2 years of prior administrative or office support experience in a structured environment.• Strong proficiency with Microsoft Office, including Word, Excel, and PowerPoint.
• Ability to manage multiple assignments, stay organized, and maintain accuracy in a deadline-driven setting.
• Comfortable handling inbound calls, reception duties, and general administrative office responsibilities.
• Strong attention to detail, sound time-management skills, and the ability to work effectively under pressure.
• A collaborative approach and willingness to learn new processes and systems.
• Experience with Adobe Acrobat is helpful, and exposure to ShareFile or GoFileRoom is a plus.
• Must be able to work onsite in Beachwood, Ohio, with availability for overtime during busy seasons.
Compensation
