Administrative Assistant
We are seeking a proactive and detail-oriented part-time Administrative Coordinator to support daily office operations and accounting functions.
Manage front desk operations, including answering incoming calls and greeting visitors
Open and close the office daily (lights, coffee setup, kitchenette organization)
Review and track daily calendars (monitoring in-office vs. remote meetings)
Schedule and coordinate internal and external meetings
Perform high-volume data entry with accuracy and attention to detail
Process invoices and provide administrative support to senior accounting staff
Utilize QuickBooks for timesheets, time entry, and invoice processing
Convert paper files into electronic format through scanning and document organization
Assist with system transitions and learn new software as needed
Track vehicle and equipment billing related to company projects
Order office snacks and maintain kitchen and supply inventory
Provide general administrative support across the team as needed
Handle inbound calls related to water infrastructure inquiries
Adapt to workflow fluctuations, with opportunity to ramp from part-time to full-time hours over time
Qualifications:
Self-motivated and proactive with the ability to work independently in a quieter office setting
Willingness to take initiative and seek out additional tasks during slower periods
Strong organizational skills and ability to manage multiple priorities
Effective time management with the ability to meet deadlines
At least 1+ year of administrative, customer support, or related experience
Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Experience with QuickBooks, including data entry and invoicing, preferred
Compensation
