Position Summary
The Specialist, Implementations is responsible for coordinating and executing pre-implementation activities that ensure clients are successfully prepared for implementation and positioned for long-term success with DataSpring solutions. The onboarding process begins when a deal is closed and includes account setup, project discovery, implementation readiness assessments, client intake activities, and coordination of internal resources to support a smooth transition into implementation.

The individual serves as a key liaison between Sales, Implementation, Operations, Finance, and other internal stakeholders to ensure all onboarding requirements are completed accurately and efficiently.

This position requires strong organizational, communication, and problem-solving skills, as well as the ability to manage multiple onboarding projects simultaneously. The ideal candidate can assess client needs, identify potential risks or gaps early in the process, and coordinate solutions across functional teams.

 

The Specialist, Implementations is a full-time, remote, exempt position and reports to the Manager, Implementation Operations.


Specific Responsibilities

  • Client Onboarding & Readiness: Support clients through the onboarding process by facilitating discovery activities, coordinating implementation readiness requirements, providing guidance on onboarding deliverables, and answering client questions to ensure a smooth transition into implementation.
  • Account Setup & Configuration: Manage account setup activities, including reviewing contracts and sales documentation, initiating client portal creation, coordinating internal setup requests, and ensuring all onboarding requirements are completed accurately and on time.
  • Client Communication: Serve as a primary point of contact during the onboarding phase, providing proactive communication, managing onboarding timelines, tracking action items, and ensuring clients understand next steps and expectations.
  • Data Preparation & Transformation: Perform roster transformation and data preparation activities by reviewing client-provided files, validating data quality, and converting information into DataSpring standard templates to support successful implementation.
  • Project Coordination: Maintain accurate project records, onboarding milestones, and client communications within DataSpring Customer Relationship Management (CRM) systems and other project tracking tools.
  • Forecasting Support: Support project forecasting efforts by gathering implementation-related information, validating project timelines and volumes, identifying potential delays, and providing updates to implementation leadership.
  • Documentation Management: Create, maintain, and organize onboarding documentation, project artifacts, standard operating procedures, and implementation readiness materials to support operational consistency and knowledge sharing.
  • Risk Identification & Escalation: Proactively identify onboarding risks, data concerns, scope discrepancies, and project readiness issues, escalating concerns as appropriate to support successful project outcomes.
  • Process Improvement: Contribute to continuous improvement initiatives by identifying opportunities to streamline onboarding workflows, improve client readiness processes, and enhance operational efficiency.
  • Cross-Functional Collaboration: Build strong partnerships with Sales, Finance, Implementation, Product, and Operations teams to ensure seamless handoffs, accurate project setup, and a positive client experience throughout the onboarding lifecycle.
  • Client Training & Solution Delivery: Lead clients through the implementation process by conducting training sessions using presentations and solution demonstrations; troubleshooting issues; and providing ongoing guidance, support, and answers to client questions to ensure successful adoption of all DataSpring solutions.
  • Additional duties and responsibilities as required to accomplish organizational goals and objectives.

  • Intermediate to advanced skills with Microsoft Office, Word, Excel, PowerPoint and Salesforce.


Education & Experience

  • B.A./B.S. degree in Business, Healthcare, Marketing, Technology, or related field preferred.
  • 2–3 years of experience in client onboarding, account management, implementation support, project coordination, customer success, or a related client-facing role.
  • Experience working with healthcare provider groups, credentialing processes, and delegated relationships, including an understanding of provider data, roster management, and payer/provider workflows.
  • Experience supporting onboarding, implementation readiness, account setup, data management, or operational processes preferred.
