Administrative Assistant

San Antonio, TX 78217, US Contract
Compensation: $18 to $20 Hourly

Our client is in need of an Administrative Assistant to support daily operations for a transport-focused team in San Antonio, Texas. This opportunity is ideal for someone who communicates clearly, stays organized in a fast-paced environment, and can manage multiple administrative priorities with accuracy. The person in this role will help keep documentation, scheduling, and client communication running smoothly while providing dependable support to management and internal teams.


Responsibilities:

•Provide day-to-day administrative support to leaders and team members, ensuring information is shared clearly and requests are handled promptly.

•Review billing-related details with management and secure the necessary approvals so invoices can be processed accurately.

•Enter, update, and maintain records across multiple software platforms with a high level of accuracy and consistency.

•Set up new bookings and organize supporting details to ensure each request is properly documented from the start.

•Prepare, compile, and distribute paperwork for clients and national account partners in a timely and organized manner.

•Serve as a point of contact for internal departments and external customers by responding to questions and directing information appropriately.

•Coordinate project calendars and daily schedules while maintaining related documents such as work orders, purchase orders, and estimates.

•Maintain organized electronic and paper filing systems, process incoming service requests, and record order details in the appropriate system.

•Scan, file, and organize business records as needed while following company safety policies and supporting a safe workplace.


Qualifications:

•Previous experience in an administrative, office support, or customer service role.
•Strong data entry skills with the ability to work accurately across multiple systems.
•Comfort handling inbound and outbound communication, including phone calls and email correspondence.
•Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
•Ability to manage schedules, appointments, and document flow in a fast-moving environment.
•Strong organizational skills with attention to detail and the ability to prioritize multiple tasks.
•Clear and effective communication skills when interacting with management, clients, and internal teams.

Compensation

$18.00-$20.00 Hourly
