Senior Executive Assistant
Overview
An organization is seeking a highly strategic, polished, and proactive Senior Executive Assistant to support executive leadership. This role extends beyond traditional administrative functions, serving as a trusted advisor and operational partner to enhance leadership effectiveness and drive business priorities.
Key Responsibilities
- Serve as a trusted partner to executive leadership by proactively managing priorities, optimizing schedules, and ensuring focus on high-impact initiatives
- Act as a gatekeeper and facilitator to align executive priorities with organizational execution
- Prepare and synthesize executive-level communications, including presentations, reports, and strategic updates
- Drive follow-through on key initiatives by tracking deliverables, identifying risks, and ensuring accountability across leadership teams
- Manage complex calendars, balancing long-term priorities with day-to-day demands
- Lead planning and execution of executive meetings (e.g., board meetings, leadership meetings, strategic offsites), including agendas, materials, and follow-ups
- Establish and maintain operating rhythms that support alignment and decision-making
- Partner with leadership to develop insights, prepare reports, and translate data into actionable summaries
- Serve as a liaison between executives and internal/external stakeholders to ensure clear communication and alignment
- Coordinate cross-functional initiatives, remove barriers, and influence outcomes
- Support or lead high-impact strategic projects tied to growth and operational excellence
- Mentor and guide junior administrative staff
- Handle sensitive and confidential matters with discretion and professionalism
- Exercise sound judgment in fast-paced, high-stakes environments
- Represent leadership professionally in interactions with senior stakeholders and external partners
- Oversee complex domestic and international travel arrangements
- Manage executive-level events, including meetings, offsites, and large-scale gatherings
- Prepare briefing materials to ensure executives are informed and prepared
Qualifications:
Qualifications
- 7–12+ years of administrative or executive support experience, including experience supporting senior or C-level executives
- Strong interpersonal, organizational, and communication skills (written and verbal)
- High level of discretion, professionalism, and sound judgment
- Ability to manage shifting priorities and work effectively under pressure
- Proactive, resourceful, and solution-oriented mindset
- Experience interacting with senior stakeholders and high-profile individuals preferred
- Advanced proficiency in Microsoft Office Suite (PowerPoint, Word, Outlook; Excel preferred)
- Experience with document and design tools (e.g., Adobe) preferred
- Bachelor’s degree preferred (Business Administration or related field is a plus)
- Flexibility to work extended hours or adjust schedule based on executive needs
