Northrop Grumman Space Sector is seeking an Administrative Assistant to support the Active RF Programs Operating Unit (OU).  This organization designs, builds and operates cutting edge satellite and ground systems that are critical to our national defense. This is a full-time, on-site position located in Linthicum, MD.

This role may be filled as either a level 3 or level 4.

Overview

We are seeking a dependable teammate, an independent thinker with high energy and a track record of excelling in a fast-paced, multi-faceted, and collaborative team-based environment. This position requires excellent communication skills, an ability to organize and prioritize tasks independently, strong time management skills and strong office management and interpersonal skills. The selected candidate should have the ability to act with discretion and good judgment when handling or disseminating sensitive, confidential, or proprietary information. This position will report to the Operating Unit Director and provide support throughout the leaders in the Director’s organization as required.

As a selected candidate, you will work closely with OU director, support the OU’s program managers and collaborate with the staff working on programs in a variety of capacities.

Role and Responsibilities:

  • Proactively manage calendars for assigned staff. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs, and resolve frequent schedule conflicts

  • Make business travel arrangements, process documentation as required and process expense reports in a timely manner for assigned staff

  • Develop, format and distribute communications from leadership with support from a subject matter expert 

  • Operate independently to meet requirements of leadership team  

  • Proactively support in executing day-to-day pop-up related items that facilitate the ability to meet business requirements

  • Attend staff meetings and publish agendas.  Collect, compile, prepare notes and action items from meetings and follow up on action items to help timely submissions by staff 

  • Arrange and execute support for a variety of internal and external on-site meetings and events, including conference room reservations, set up, and catering

  • Respond to a wide variety of employee requests, provide direct support and/or resource referrals as appropriate

  • Coordinate office workspace planning, ordering supplies, and ordering office equipment with the facilities and IT organizations

  • Coordinate office cleaning schedules with the custodian manager

  • Provide onsite escorting support, as needed

  • Support special projects as assigned

  • Provide back-up support for other administrative staff as needed 

Basic Qualifications for a level 3: 

  • Associate's degree and 2 years of relevant experience in the administrative professional field; OR Bachelor's degree and relevant experience in the administrative professional field, an additional four years’ experience may be considered in lieu of a degree

  • Strong interpersonal, communication and organizational skills 

  • Proactive, with the ability to anticipate needs of your assigned clients and the business 

  • Highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities 

  • Strong ability to multi-task with competing priorities in a positive manner 

  • High proficiency in MS Office Suite (Word, Excel, Outlook and PowerPoint) 

  • Attention to detail with experience proofreading and correcting documents for grammatical and spelling errors

  • Demonstrated ability to manage multiple administrative projects and initiatives 

  • Active Top Secret clearance with SCI access in scope at the time of application

  • US Citizenship required

Preferred qualifications 

  • Familiarity with Northrop Grumman (NG) policies and procedures 

  • Familiarity with NG systems (Concur, SharePoint, NG File Transfer Tool and other NG tools) 

  • Advanced proficiency in business and travel expense system (Concur or similar) with complex, frequently changing travel 

  • Demonstrated strong document preparation skills 

Primary Level Salary Range: $53,500.00 - $89,100.00

Secondary Level Salary Range: $63,500.00 - $105,900.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
