Executive Assistant
Responsibilities:
• Manage complex calendars, coordinate meetings, and keep daily schedules organized to support executive priorities.
• Prepare documents, materials, and other resources needed for ongoing activities, appointments, and internal discussions.
• Arrange travel logistics, including bookings and itinerary coordination, while ensuring plans align with business needs.
• Oversee permit-related administrative tasks by gathering information, tracking progress, and following through on required steps.
• Communicate with external manufacturers and other partners to help maintain smooth day-to-day coordination.
• Handle a variety of administrative requests and time-sensitive assignments with flexibility and professionalism.
• Anticipate operational needs, identify next steps, and provide proactive support to keep workstreams on track.
• Maintain accurate records and use technology effectively to organize information, communications, and scheduling details.
Qualifications:
• Demonstrated experience supporting executive-level scheduling, meeting coordination, and administrative operations.• Strong organizational skills with the ability to manage multiple priorities and maintain exceptional attention to detail.
• Proven ability to handle sensitive information with discretion and a high level of confidentiality.
• Comfortable using digital tools and office technology to manage calendars, documents, and communications efficiently.
• Resourceful, proactive approach with the confidence to take initiative and solve day-to-day administrative challenges.
• Collaborative mindset and the ability to work effectively as part of a team while maintaining a thoughtful and kind demeanor.
• Experience coordinating travel arrangements and supporting executive meetings is strongly preferred.
Compensation
