HR Coordinator
Robert Half is looking for an HR Coordinator to support core people operations for a manufacturing organization in Portland, Oregon. This is a Contract position focused on delivering a smooth employee onboarding experience, maintaining accurate HR records, and helping ensure day-to-day compliance with established policies and procedures utilizing ADP Workforce Now. The ideal candidate is highly organized, comfortable handling sensitive information, and confident using HR systems to manage administrative processes with accuracy and efficiency.
Responsibilities:
- Serve as the main point of contact for employee questions, triaging and directing inquiries appropriately.
- Manage front desk operations including answering the door, handling calls, and maintaining a professional environment.
- Process daily attendance, including absence reports, voicemail tracking, and updating HR systems; distribute daily headcount sheets.
- Support payroll processes by reviewing timesheets, tracking attendance and PTO, and resolving discrepancies.
- Maintain accurate employee records in HRIS and process documentation with payroll, unions, and insurance providers.
- Coordinate onboarding and offboarding processes, including pre-employment screenings and checklist completion.
- Assist with recruitment efforts, including job postings, interview scheduling, and candidate communication.
- Manage employee communications and engagement initiatives such as factory updates, slideshows, birthdays, anniversaries, and recognition programs.
- Handle administrative tasks including paycheck distribution, mailings, quarterly discount passes, and document preparation.
- Support HR operations including benefits billing review, drug testing coordination, employee investigations, and safety program administration.
Qualifications:
- Experience supporting onboarding, employee documentation, or other human resources administrative activities (ADP experience preferred).
- Knowledge of background screening coordination and related pre-employment processes.
- Familiarity with HRIS platforms and general human resources software tools.
- Understanding of HR compliance practices, recordkeeping standards, and confidentiality requirements.
- Strong organizational skills with the ability to manage multiple tasks and deadlines accurately.
- Clear written and verbal communication skills when working with employees, candidates, and internal stakeholders (bilingual in Vietnamese preferred, not required).
- High level of discretion and professionalism when handling sensitive personnel information.
Compensation
