Adena is seeking a Civil/Industrial Assistant Project Manager to support the successful execution of construction projects across a variety of industrial and civil markets. This role is responsible for assisting with project coordination, scheduling, cost tracking, document control, and quality assurance to help ensure projects are completed safely, on time, and within budget. The ideal candidate has strong organizational and communication skills, the ability to manage multiple priorities, and experience working in construction or project environments. This position works closely with Project Managers, field leadership, subcontractors, and clients to support all phases of project execution.

Position Description:
- Assist the Project Manager in all phases of project execution, including planning, coordination, scheduling, cost control, and closeout activities.
- Support business development efforts by identifying opportunities within the Civil and Industrial markets.
- Provide administrative and operational support to field staff and project teams.
- Coordinate project startup activities, including ensuring necessary tools, equipment, permits, and resources are in place prior to mobilization.
- Prepare for and participate in pre-installation meetings and other project-related meetings; develop agendas, distribute materials, and publish meeting minutes.
- Review project contracts and become familiar with contract terms, specifications, and project requirements.
- Assist in developing, maintaining, and distributing project schedules and ensure subcontractors have current scopes of work and project information.
- Solicit, evaluate, and compare subcontractor bids; assist with scope reviews, buyout activities, and subcontract administration as directed.
- Ensure subcontractor contracts, insurance, bonds, and required documentation are received and current prior to work commencing.
- Develop and maintain project logs, including RFIs, submittals, PCOs, and other project documentation.
- Prepare, submit, track, and distribute RFIs, submittals, and material deliveries to support project execution.
- Review submittals for conformance with project plans and specifications and coordinate with project stakeholders as needed.
- Collect, review, and maintain project documentation, including daily reports, safety records, project photographs, and coordination drawings.
- Facilitate coordination between project managers, superintendents, subcontractors, and other stakeholders to resolve issues and maintain project progress.
- Monitor project schedules, labor hours, costs, and expenditures to support job cost projections and monthly project reporting.
- Review and process invoices, verify accuracy, and assist with payment applications.
- Complete quantity take-offs and provide project support to estimating and operations teams as requested.
- Identify project risks and issues, escalate concerns appropriately, and assist in implementing solutions.
- Promote and support a strong safety culture by adhering to company safety policies and encouraging safe work practices on all jobsites.
- Represent the company in a professional manner with clients, subcontractors, and the community.
Position Requirements:
Minimum 2 years of experience in construction management
- Associate’s or Bachelor’s degree in construction management is a plus
- Previous experience leading civil projects preferred
- In-depth understanding of construction procedures/materials and project management principles
- Excellent organizational and time-management skills
- Familiarity with OSHA health and safety standards
- Ability to grow client relations
- Outstanding communication and negotiation skills
- Ability to read blueprints
- Ability to work independently with minimal managerial supervision
- Attention to detail and problem-solving skills
- A creative mind with the ability to suggest improvements
- Proficient in the use of Microsoft Word, Excel, Outlook, Timberline, Bluebeam, and Vista
- Must maintain a valid driver’s license and clean driving record
- Ability to work in a team environment while portraying a positive attitude and maintaining confidentiality
