Charter Coordinator
Training will take place Monday - Friday between 0700 L - 1600 L or 1000 L -1900 L. Once completed, the shift you are applying for is Friday - Sunday from 0700 L - 1900 L. There will be times when we need additional shifts covered and will require your support.
GENERAL DESCRIPTION
The Air Charter Coordinator will serve as a key point of contact for clients, flight crews, and internal teams, ensuring all charter arrangements are accurate, compliant, and executed seamlessly from initial request through post-flight follow-up.
DUTIES AND RESPONSIBILITIES
• Coordinate all aspects of private charter flights, including scheduling, aircraft availability, crew logistics, catering, ground transportation, and special client requests.
• Serve as the primary liaison between clients, operators, vendors, and internal departments to ensure clear communication and successful trip execution.
• Manage a high volume of inbound and outbound phone calls while maintaining professionalism and efficiency.
• Provide exceptional customer service by responding promptly to client inquiries and resolving issues with urgency and care.
• Prepare and review trip documentation to ensure accuracy and compliance with company standards.
• Monitor active trips and proactively address any operational changes or disruptions.
• Maintain detailed and accurate records within company systems.
• Support billing processes, confirmations, and post-flight reporting as needed.
• Collaborate with team members to improve processes and enhance the client experience

Skills required
• High school diploma or general education degree (GED) required.
• Minimum 5 years of previous administrative experience.
• Must be able to obtain a security clearance.
• Excellent interpersonal, verbal, and written communication skills.
• Exceptional customer service abilities.
• Strong organizational skills with a high level of attention to detail.
• Detail-oriented with proven follow-up skills.
• Ability to work effectively in a busy, fast-paced environment.
• Comfortable handling a high volume of phone calls and remaining on the phone for extended periods.

Relevant skills preferred
• Aviation experience is preferred but not required.

Must be able to pass drug and background screen.
