Administrative Assistant

Compensation: $18 to $20 Hourly

We are looking for an experienced Administrative Assistant to support daily front office operations in Baton Rouge, Louisiana. This contract to permanent position is ideal for someone who enjoys creating a welcoming environment, staying organized, and keeping administrative tasks moving efficiently. The person in this role will serve as a key point of contact for visitors and callers while providing dependable office support across a range of clerical functions.


Responsibilities:

• Welcome visitors, manage the front desk, and create a welcoming first impression for everyone entering the office.

• Handle incoming phone calls, direct inquiries to the appropriate team members, and take accurate messages when needed.

• Perform a variety of administrative duties such as filing, document preparation, record maintenance, and general office coordination.

• Enter and update information in internal systems with strong attention to accuracy and timeliness.

• Sort, distribute, and route incoming mail and deliveries to the correct recipients.

• Support scheduling, correspondence, and routine communication using Microsoft Outlook and related office tools.

• Prepare spreadsheets, track basic office data, and assist with reporting tasks using Microsoft Excel.

• Assist with operational administrative changes or office process updates as assigned while helping maintain day-to-day continuity.


Qualifications:

• Prior experience in an administrative assistant, receptionist, or front office support role.
• Demonstrated ability to manage inbound calls and interact professionally with visitors, clients, and staff.
• Strong data entry skills with a high level of accuracy and attention to detail.
• Working knowledge of Microsoft Excel and Microsoft Outlook in a business setting.
• Ability to organize multiple tasks, prioritize responsibilities, and meet daily deadlines.
• Clear written and verbal communication skills with a dependable and courteous approach.
• Experience handling mail distribution, general clerical work, and routine administrative office tasks.

Compensation

$18.00-$20.00 Hourly
