Legal Assistant
Responsibilities:
• Open and organize new legal matters within the department’s file management structure while maintaining accurate records.
• Prepare reports, presentation materials, and meeting documents to support attorneys and leadership teams.
• Maintain, categorize, and update legal correspondence, transactional materials, and case documents within document management systems.
• Coordinate conference room usage and oversee shared office resources such as copy and production areas.
• Submit court filings in both electronic and paper formats while ensuring compliance with filing procedures and deadlines.
• Provide administrative coverage at the front desk when needed, including greeting visitors and directing inquiries appropriately.
• Manage incoming and outgoing mail, including collection, sorting, and internal distribution.
• Arrange meetings, depositions, and business travel, and assist with expense reconciliation and reimbursement documentation.
• Support vendor payment processing by coordinating invoices, monitoring payment progress, and working with internal operations teams.
• Assist with service-of-process procedures, draft meeting agendas, and complete additional departmental support tasks as assigned.
Qualifications:
• Experience supporting legal, government, or administrative operations in an office environment.• Working knowledge of legal filing practices, records management, and document organization.
• Ability to prepare clear reports, presentations, and business correspondence with strong attention to detail.
• Strong scheduling and coordination skills, including meetings, depositions, travel arrangements, and mail handling.
• Familiarity with municipalities and the ability to support work related to public sector legal matters.
• Research capability related to legislative issues and legal or regulatory topics.
• Proficiency with standard office software and the ability to learn case or document management platforms quickly.
