Project Coordinator
We are looking for a Project Coordinator to join a wholesale distribution organization in Littleton, Colorado on a contract basis with the potential for a permanent role. This position supports the full lifecycle of incoming sales orders, partnering closely with sales representatives, clients, warehouses, and internal teams to keep projects moving accurately and on schedule. The ideal candidate brings strong administrative coordination skills, works confidently with manual processes, and can manage competing priorities with minimal day-to-day oversight.
Responsibilities:
• Receive and process sales-related documentation from representatives, establish project records, and prepare files for handoff to the next phase of coordination.
• Communicate with sales staff, customers, and internal partners to provide updates, resolve routine questions, and keep activities aligned.
• Place product orders and track each step through scheduling, shipment timing, and delivery readiness to help ensure deadlines are met.
• Coordinate with warehouse teams on outbound inventory, storage needs, and delivery timing, especially when project schedules shift.
• Maintain accurate administrative and operational records in spreadsheets and related systems to support visibility across active work.
• Generate invoices and assist with order-related documentation, reporting, and general administrative follow-up.
• Monitor multiple active projects at once, identify delays or gaps, and take action to keep tasks organized and progressing.
• Operate effectively within a process-driven environment that includes a significant amount of manual coordination and tracking.
Qualifications:
• 3+ years of experience in administrative support, project coordination, order management, or a related business support function.
• Strong Excel skills, including the ability to update records, track information, and use basic formulas without close assistance.
• Ability to work independently after training, manage daily priorities, and take ownership of assigned projects.
• Experience supporting scheduling, sales operations, project coordination, or cross-functional administrative workflows.
• Strong organizational and multitasking abilities with careful attention to timing, accuracy, and follow-through.
• Strong communication skills for interacting with sales representatives, clients, and warehouse partners.
• QuickBooks experience is preferred, and additional accounting or invoicing exposure would be beneficial.
• Background in environments with manual processes and changing timelines is helpful.
Compensation
