Sales Administrator & Title Clerk
We are looking for a detail-oriented Admin Assistant to support daily sales administration and vehicle title operations for a Contract position based in Battle Creek, Michigan. This role is ideal for someone who can balance customer-facing communication with precise documentation, helping ensure truck and trailer transactions move forward smoothly and in compliance with state requirements. The position will play a key part in organizing records, coordinating paperwork, and assisting internal teams with billing and administrative support.
Responsibilities:
• Manage and maintain both electronic and paper filing systems so sales, title, and billing documents are complete, accurate, and easy to access.
• Prepare sales packets for truck and trailer transactions by assembling required forms and verifying that information is entered correctly for each deal.
• Guide customers through documentation steps by collecting necessary paperwork, addressing questions, and clarifying next actions in the purchase process.
• Submit and monitor title, registration, tax, plate, and lien paperwork through Michigan dealer systems and other applicable state platforms.
• Record vehicle transactions in required dealership logs, including police book documentation, to support compliance reviews and audits.
• Assist with reporting, presentations, and general administrative materials needed by the sales and operations teams.
• Support basic financial administration by tracking expenses, processing invoices, and maintaining organized billing records.
• Contribute to service billing activities by reviewing supporting documents, updating files, and helping keep invoicing information current.
• Maintain accurate records for sales activity, vehicle documentation, and related correspondence while protecting confidential information.
• Provide additional administrative assistance and project support as business needs evolve.
Qualifications:
• High school diploma or equivalent is required.• Prior experience in a title, dealership administration, sales support, billing, or office coordination role is required.
• Working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, as well as Google Workspace.
• Familiarity with vehicle titling, registration, lien documentation, and related compliance processes is preferred.
• Experience using state dealer portals or vehicle registration and titling systems is preferred.
• Understanding of Michigan dealership recordkeeping standards, including title documentation and required transaction logs, is preferred.
• Strong organizational, communication, and multitasking abilities with careful attention to accuracy.
• Ability to handle sensitive records with discretion and maintain confidentiality in a fast-paced environment.
