Administrative Assistant
6 month contract
Board Clerk/Admin
Key Responsibilities
Support board and committee meetings (setup, logistics, coordination)
Assist with public meetings (Brown Act exposure is a plus)
Set up conference rooms (tables, chairs, materials)
Coordinate food orders / pick up lunches as needed
Provide general admin/front desk support for the agency
Draft basic emails and support written communication
Assist with calendaring and scheduling
Create/edit documents in Word, Excel, PowerPoint
Top Requirements
2+ years administrative, front desk, or receptionist experience (4–5 years preferred)
Strong professionalism—comfortable supporting elected officials and leadership
Willingness to handle both clerical and hands-on tasks (setup, hospitality, etc.)
Strong written and verbal communication
Proficiency in Outlook, Word, Excel (not advanced)
Nice to Have
Brown Act knowledge or public board clerk experience
Not required—can train if candidate is capable and willing to learn
Interview Process
1 virtual panel interview
Additional Details
Occasional after-hours meetings hosted onsite (very rare)
If support is needed, schedule will be adjusted to avoid overtime
Still maintains 40-hour work week
Candidate must be comfortable in a high-visibility front desk role
Qualifications:
• At least 3 years of administrative support experience, preferably in a public sector, government, or board-support environment.• Familiarity with public meetings and working knowledge of Brown Act requirements and related compliance expectations.
• Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
• Experience coordinating calendars, scheduling appointments, and supporting meeting logistics in a fast-paced setting.
• Strong written communication skills with the ability to prepare agendas, minutes, reports, and detailed correspondence.
• Ability to perform accurate data entry, manage records, and handle multiple priorities with close attention to detail.
• Comfortable providing customer service and handling inbound and outbound communications with professionalism.
• Ability to work in a hybrid arrangement, including four days on-site in Oakland, California and one remote day using personal equipment.
Compensation
