Front Desk Coordinator
Responsibilities:
• Manage the front desk area of the Incubator, including greeting visitors, directing them to appropriate destinations and/or resources, and answering inquiries about our organization.
• Oversee the opening and closing procedures of the front desk.
• Handle phone communications, ensuring messages are relayed promptly.
• Maintain kitchen and marketing materials, ensuring areas are stocked and presentable.
• Manage mailroom operations, including sorting and distributing mail and packages.
• Schedule and maintain conference rooms, ensuring spaces are tidy and ready for use.
• Support coordination for staff weekly two-question reporting to CEO.
• Assist with event logistics, including room setup, cleanup, catering arrangements, and audiovisual equipment setup.
• Update electronic signage to promote events as per marketing department specifications at the front desk.
Skills and Qualifications:
• Excellent organizational and multitasking abilities.
• Strong communication and interpersonal skills.
• Proficient in using Microsoft office software, including OneDrive.
• Experience in customer service or reception, with a knack for creating a welcoming environment.
• Ability to handle emergency situations calmly and efficiently.
• Familiarity with AV equipment and setup.
• Prior experience in mailroom operations is a plus but not required.
Qualifications:
• Demonstrated ability to stay organized, manage multiple priorities, and maintain attention to detail throughout the day.• Strong verbal and written communication skills with a customer-focused and approachable demeanor.
• Previous experience in reception, front desk support, hospitality, or customer service roles.
• Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and OneDrive.
• Comfortable handling multi-line phone systems, administrative tasks, and basic data entry responsibilities.
• Ability to support a welcoming and detail-oriented office environment through strong interpersonal skills and sound judgment.
• Familiarity with setting up and troubleshooting basic audiovisual equipment for meetings or events.
• Experience with mail distribution or mailroom support is helpful, though not required.
Compensation
