Administrative Coordinator
Responsibilities:
• Welcome students, volunteers, and instructional staff with professionalism and warmth, helping each person feel at ease upon arrival.
• Support the intake process for new learners by distributing enrollment materials and following up about assessments, orientations, and related next steps.
• Respond to office questions and direct individuals to the appropriate team members when additional assistance is needed.
• Maintain organized student records and program documents, ensuring files are complete, accessible, and up to date.
• Enter attendance, assessment, and other program data with a high level of accuracy and consistency.
• Review paper and digital records on a regular basis to confirm information matches across program documentation and databases.
• Keep instructional supplies, learning materials, and resource areas orderly so staff and learners can easily access what they need.
• Provide broad administrative support to the Project Literacy team, including assistance with scheduling, document handling, and day-to-day coordination.
• Adapt to changing office activity levels, including busier enrollment periods, and take on additional duties as program needs evolve.
Qualifications:
• Demonstrated success working respectfully with people from a wide range of cultural, language, educational, and socioeconomic backgrounds.• Strong customer service skills with a friendly, approachable manner in a multicultural setting.
• Excellent organizational ability and close attention to detail in administrative work.
• Proven accuracy in recordkeeping, filing, and data entry tasks.
• Confidence using spreadsheets, databases, and new technology tools with minimal ramp-up time.
• Solid numerical aptitude and comfort handling attendance figures, assessment data, and other number-based information.
• Ability to protect confidential information and use sound judgment when handling sensitive records.
• Prior experience supporting adult learners, English language learners, immigrant communities, or similarly diverse populations is preferred; bilingual ability is a plus.
