Legal Administrative Assistant

Compensation: $65 to $85 Yearly

Our client, a growing full-service law firm, is seeking a Legal Administrative Assistant to provide dedicated support to a busy litigation team in Providence, Rhode Island. This position is ideal for someone who thrives in a structured legal setting, manages competing priorities with care, and communicates confidently with colleagues, courts, and clients.


Location: Providence, RI

Role: Legal Administrative Assistant (Litigation)

Schedule: Hybrid (4 days in, 1 day remote but can be 3 days in, 2 days remote after onboarding)

Salary: $62,000 - $85,000 (depending on experience) + amazing benefits


Responsibilities:

  • Draft, format, proofread, and prepare legal documents, including pleadings, motions, affidavits, interrogatories, subpoenas, summonses, and related correspondence.
  • Coordinate attorney calendars, appointments, client meetings, court appearances, depositions, hearings, and other case-related events, including all necessary logistics and communications.
  • Maintain, organize, store, and retrieve physical and electronic case files, including pleadings, discovery materials, exhibits, evidence, deposition transcripts, and other legal records.
  • Manage confidential legal documentation and correspondence in accordance with firm policies and ethical standards.
  • Transcribe, edit, and proofread legal documents to ensure accuracy, completeness, and proper formatting.
  • Prepare and electronically file court documents in compliance with applicable court rules, procedures, and filing deadlines.
  • Perform document management functions, including filing, scanning, copying, faxing, and maintaining organized records and document databases.
  • Serve as a primary point of contact by answering telephone calls, screening inquiries, taking detailed messages, and directing communications appropriately.
  • Monitor case deadlines and provide timely reminders to attorneys and staff regarding court dates, filing requirements, and client matters.
  • Assist with administrative projects and provide ongoing support to ensure efficient office operations and timely case management.
  • Track, maintain, and update records related to billable time and case activities.
  • Perform additional administrative and legal support duties as assigned.

Qualifications:

Requirements:

  • 2+ years of experience in a legal administrative, legal assistant, paralegal, or related professional support role.
  • Working knowledge of legal terminology, court procedures, legal documents, and litigation processes.
  • Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and related office applications.
  • Experience with electronic court filing systems and online court portals preferred.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks and meet competing deadlines.
  • Excellent attention to detail and commitment to accuracy in document preparation and case management.
  • Strong verbal and written communication skills with the ability to interact professionally with clients, attorneys, court personnel, and colleagues.
  • Ability to work collaboratively in a team-oriented environment while managing responsibilities independently.
  • Demonstrated professionalism, discretion, and sound judgment when handling confidential and sensitive information.

Compensation

$65,000.00-$85,000.00 Yearly
