Accounts Receivable Specialist

Robert Half is seeking a detail-oriented Accounts Receivable Specialist for our client in the HVAC industry in San Diego, California. This role is ideal for an accounting professional with experience in billing, cash applications, collections, and account reconciliation. The ideal candidate is organized, accurate, and comfortable working in a fast-paced environment.

Key Responsibilities:

• Generate and issue customer invoices accurately and in a timely manner
• Post customer payments and apply cash to open accounts
• Monitor aging reports and follow up on past-due balances
• Perform collections activities while maintaining strong customer relationships
• Reconcile accounts receivable balances and investigate payment discrepancies
• Assist with month-end close related to receivables and cash receipts
• Maintain accurate customer account records and supporting documentation
• Respond to customer inquiries regarding invoices, payments, and account status
• Coordinate with operations, service, and sales teams to resolve billing issues
• Help improve receivables processes and maintain internal controls

Qualifications:

Preferred HVAC Industry Experience:

• Experience supporting billing and receivables in HVAC, construction, field services, or related industries
• Familiarity with service contracts, work orders, job costing, or project-based billing is a plus
• Experience managing customer accounts with high invoice volume and recurring service activity is helpful

Qualifications:

• 2+ years of accounts receivable, billing, or related accounting experience
• Strong understanding of invoicing, cash applications, collections, and reconciliations
• Proficiency with Microsoft Excel and accounting or ERP systems
• High attention to detail and strong organizational skills
• Excellent communication and customer service abilities
• Ability to manage multiple priorities and deadlines effectively
• Associate or bachelor’s degree in accounting, finance, or related field preferred

Preferred Skills:

• Experience with ERP systems such as NetSuite, SAP, Oracle, Microsoft Dynamics 365, or similar platforms
• Familiarity with accounting controls and software proficiency commonly requested by employers
