Brief Description:
The role of the Administrative Assistant is essential for the successful operation of the Centro Latino and its Professional Certificate programs. This position provides administrative assistance and individualized attention to participants in the Centro Latino Professional Certificates by sharing knowledge, experience, and insights that are beneficial to participants as they evaluate and realize missional opportunities and professional goals.
The ability to multi-task related to organization and communication, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver, and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
Essential Functions:
- Provide administrative support to the professional certificate programs in areas such as correspondence, emails, managing appointment calendars, taking messages; photocopying/scanning as needed.
- Coordinate and provide customer service to the Professional Certificate participants by responding to inquiries, application and registration within 24 hours and identifying long-term and scalable customer service solutions.
- Support current and new users on-boarding to the Platform, including coordination and troubleshooting as needed with the Fuller EQUIP team.
- Maintain data base management
- Organize and schedule meetings and appointments
- Assist with logistics for online and face-to-face training events and other program activities, including, but not limited to the mailing of invitations, tracking registrations/RSVPs and generating guest check-in rosters, preparation of name badges, programs, room arrangements, event set-up, and coordination of food, flowers, signs, place cards, and other necessary details.
- Coordinate and assist in all fundraising efforts for the Centro Latino: including campaigns, events and communication with donors and potential donors.
- Fostering relationships with donors, potential donors and Centro Latino alumni.
- Collaborate with the Centro Latino team to brainstorm innovative and creative ways to recruit students for the certificate programs.
- Engage and provide assistance to all certificate program participants while maintaining courtesy and overseeing their progress for retention goals.
- Improving communication and increasing problem-solving solutions by pooling knowledge and resources to identify and solve problems more effectively.
- Assist in the preparation of regularly scheduled reports
- Write letters and emails on behalf of other office staff
- In collaboration with the Recruitment Specialist, support the marketing and recruitment plan.
- Assist participants with payment processing
- Participate in weekly planning/evaluation meetings
Knowledge and skills required:
- Fully bilingual (Spanish and English, fluently).
- B.A. or equivalent
- At least 3 years of experience in a general office setting
- Effective communicator (verbal and written)
- Technologically adept (familiarity with software for data management and promotional materials a plus)
- Responsible, able to work independently and meet deadlines
- Good at working as part of a team
- Ability to multi-task and prioritize

- Highest level of integrity and confidentiality
- Strong interpersonal skills, multicultural sensitivity, and good conflict-resolution skills

- Good computer skills: including Apple, Microsoft Office, Salesforce, Banner, and Google applications
- Experience with Hispanic clerical leaders and churches
- Ability to arrange a flexible schedule and work location
ADDITIONAL REMARKS:
- Reports to the Centro Latino Director
- Must be willing to abide by Fuller Community Standards
- This position is primarily remote; however, the employee must be available to participate in occasional activities and meetings on the Pasadena, CA campus as needed. Candidates must reside in the Los Angeles area and be willing to travel to campus when required.
PAY SCALE
- Hourly rate the seminary expects to pay: $20.00 - $22.00 per hour USD
