Administrative Assistant
Responsibilities:
• Provide day-to-day administrative support to department leadership, ensuring tasks are completed accurately and on schedule.
• Coordinate class scheduling and assist with participant registration for child development programs.
• Track enrollment activity, maintain attendance-related records, and prepare certificates for completed programs.
• Manage calendars and organize meetings, including scheduling sessions with internal teams and external partners.
• Communicate by phone and email with program participants, vendors, and other contacts to address questions and confirm details.
• Enter and update vendor information in internal systems to support payment processing and record accuracy.
• Prepare documents, presentations, and spreadsheets using Microsoft Office, Google Docs, Canva, and Adobe tools as needed.
• Support office operations by maintaining organized files, monitoring administrative deadlines, and assisting with related special projects.
Qualifications:
• Prior experience in an administrative or executive support role within a fast-paced office environment.• Strong calendar management and meeting coordination skills with careful attention to detail.
• Ability to handle data entry, document preparation, and record maintenance with a high level of accuracy.
• Proficiency with Microsoft Office applications, including Excel, Word, and PowerPoint, along with Google Docs.
• Comfortable communicating professionally with team members, vendors, and program participants by phone and email.
• Demonstrated initiative, reliability, and willingness to collaborate effectively with different personalities and work styles.
• Experience supporting travel arrangements or executive meetings is helpful.
• Ability to work onsite in Toledo, Ohio during standard business hours, Monday through Friday.
Compensation
