Compensation: $60 to $80 Yearly

We are looking for a highly organized Executive Assistant to support senior leaders within a growing organization in Clearwater, Florida. This newly established position is ideal for someone who thrives in a fast-moving environment, manages shifting priorities with confidence, and communicates effectively across teams. The role requires strong judgment, excellent calendar coordination skills, and a proactive approach to keeping daily operations running smoothly.


Responsibilities:

• Manage complex and frequently changing calendars for multiple senior stakeholders, ensuring priorities, meetings, and deadlines remain aligned.

• Prepare leaders for meetings by organizing agendas, materials, logistics, and follow-up actions in advance.

• Coordinate internal gatherings and special events, including recurring team activities such as monthly meetings.

• Process and track expense submissions accurately while maintaining timely documentation and approvals.

• Monitor and replenish office supplies to help maintain an efficient and well-supported workplace environment.

• Serve as a central point of coordination between executives and other departments to support communication and cross-functional collaboration.

• Adjust schedules and administrative plans quickly in response to shifting business needs and last-minute changes.

• Use Microsoft Office tools to create documents, manage information, and support day-to-day administrative operations.


This is a permanent opportunity that will pay up to $80,000 depending upon experience. Please apply to Jane Gearhart if interested!


Qualifications:

• Strong proficiency with Microsoft Office and Microsoft 365 applications.
• Demonstrated ability to manage multiple calendars in a dynamic, deadline-driven setting.
• Excellent organizational skills with close attention to detail and follow-through.
• Comfort working in a fast-paced environment with changing priorities.
• Confidence to ask questions, seek clarification, and collaborate with colleagues across the business.
• Experience supporting senior leaders or business professionals in an administrative capacity.
• Familiarity with AI-enabled tools such as Copilot is a plus.
• An associate or bachelor’s degree is preferred but not required.

Compensation

$60,000.00-$80,000.00 Yearly
