We are looking for a personable and service-driven Facilities Coordinator to support a well-organized office environment. This Contract position is ideal for someone who enjoys creating a welcoming atmosphere, coordinating workplace services, and keeping daily operations running smoothly. In this role, you will balance front-of-house hospitality with facilities support, vendor coordination, and workplace organization while delivering a positive experience for employees and guests.


Responsibilities:

• Lead the day-to-day workplace experience by greeting guests, assisting employees, and helping maintain a welcoming and well-kept office environment.

• Conduct routine walkthroughs of the office to identify cleanliness, safety, and functionality concerns, then coordinate timely follow-up to resolve issues.

• Organize meeting spaces and event areas by arranging room setups, supporting catering and audiovisual needs, and partnering with internal teams and service providers.

• Manage visitor arrival processes, including access coordination, host communication, and guidance on site procedures to ensure a smooth and secure experience.

• Work closely with building partners and external vendors such as cleaning, maintenance, and security teams to support consistent service delivery.

• Assist with office space updates, seating changes, and internal moves by coordinating logistics with workplace, project, and technology teams.

• Track and replenish workplace supplies, pantry stock, furniture, and equipment to help ensure the office remains fully operational.

• Prepare basic reports, monitor service requests, and maintain accurate workplace records to support operational planning and service quality.

• Respond to day-to-day employee and visitor requests with professionalism, urgency, and a hospitality-first approach.


Qualifications:

• Previous experience in customer service, reception, workplace services, or facilities support within an office setting.
• Strong verbal and written communication skills with the ability to interact confidently with employees, visitors, vendors, and stakeholders.
• Comfortable managing multiple priorities at once while staying organized and attentive to detail.
• Ability to use Microsoft Office applications for scheduling, communication, reporting, and general administrative tasks.
• Understanding of office operations, vendor coordination, and basic workplace safety or compliance practices.
• Proven ability to work collaboratively as part of a team while bringing an outgoing and approachable presence to the workplace.
• Flexibility to support a Monday through Friday schedule and adapt to changing daily business needs.

Compensation

$23.00-$25.00 Hourly
