Executive Assistant
We are looking for an Executive Assistant in Baton Rouge, Louisiana to provide dedicated support to senior leadership while helping keep office operations running smoothly. This contract-to-permanent opportunity is ideal for an experienced candidate who can balance executive-level coordination with day-to-day administrative oversight in a fast-moving manufacturing environment. The right candidate brings strong judgment, excellent organization, and the ability to manage sensitive matters with discretion.
Responsibilities:
• Coordinate the President’s schedule by organizing meetings, appointments, and travel plans while adjusting priorities as business needs change.
• Create high-quality reports, letters, and other business documents with a high level of accuracy and attention to detail.
• Monitor important timelines, follow through on outstanding action items, and help ensure commitments are completed on schedule.
• Manage confidential information with sound judgment and maintain a high standard in all interactions.
• Oversee office supply levels, maintain vendor relationships, and support the smooth daily functioning of the workplace.
• Arrange mail distribution, deliveries, and front-office activities while helping maintain an organized and welcoming office environment.
• Assist with onboarding setup by coordinating workspace readiness, equipment, and essential materials.
• Support budgeting and administrative finance tasks, including expense monitoring and invoice coordination.
• Partner with HR and leadership to help organize meetings, company events, and team activities.
• Contribute to efficient office operations by maintaining filing systems, supporting technology setup when needed, and identifying process improvements, including occasional after-hours assistance for executive needs or special projects.
Qualifications:
• Bachelor’s degree is required.• 3–5 years of experience in executive support, office management, or a closely related administrative role.
• Valid driver’s license with a clean driving record.
• Strong working knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Demonstrated ability to manage multiple priorities independently while meeting deadlines in a dynamic environment.
• Excellent communication, interpersonal, and organizational skills with a high level of professionalism.
• Proven ability to handle confidential matters with discretion, integrity, and sound judgment.
• Detail-oriented approach with strong problem-solving skills, reliability, flexibility, and consistent attendance.
Compensation
