Administrative Coordinator
Responsibilities:
• Prepare, organize, and distribute project-related documents to ensure teams have timely and accurate information.
• Respond to incoming requests from clients, subcontractors, and project staff while providing attentive administrative support.
• Coordinate documentation and workflow needs across multiple construction projects running at the same time.
• Maintain subcontractor agreements and project contracts, tracking status and supporting proper recordkeeping.
• Schedule meetings, update calendars, and assist with general project coordination activities as needed.
• Support daily office and project administration using systems such as Procore, SAP, and Microsoft Office applications.
• Help facilitate communication among project participants to keep tasks aligned and deadlines on track.
Qualifications:
• Prior experience in an administrative, project coordination, or construction support role.• Proficiency with Procore, SAP, and Microsoft Office products.
• Ability to manage documentation and contract records with strong attention to detail.
• Experience handling inbound calls, written requests, and scheduling responsibilities in a detail-focused setting.
• Strong organizational skills with the ability to support multiple active projects at once.
• Personable and collaborative communication style suited to working with clients, subcontractors, and internal teams.
• Availability to work 25 hours per week, Monday through Friday, in Quincy, Massachusetts.
Compensation
