Front Desk Coordinator

Compensation: $24.70 to $28.60 Hourly

We are looking for an experienced and dependable Front Desk Coordinator to support daily office operations in Menlo Park, California. This Long-term Contract position is ideal for someone who enjoys creating a welcoming workplace experience while balancing reception, scheduling, and administrative coordination. The person in this role will help keep the office running smoothly by managing front desk activity, supporting leaders with calendars, and ensuring shared spaces are prepared for meetings and team gatherings.

Responsibilities:
• Welcome guests, manage visitor check-ins, and oversee front desk activity to ensure a welcoming onsite experience.
• Provide administrative and office support, including assisting with day-to-day coordination tasks that keep operations organized and efficient.
• Manage calendars for multiple leaders, arranging meetings and helping maintain well-planned schedules.
• Monitor deliveries, track onsite schedules, and serve as a central point of coordination for office activity throughout the day.
• Maintain orderly and presentable common areas by restocking snacks, tidying kitchen spaces, and preparing meeting rooms for use.
• Set up and reset conference rooms and shared spaces for meetings, team events, and larger internal gatherings.
• Arrange office lunch orders on designated weekdays and help ensure meal logistics run smoothly.
• Collaborate with colleagues across teams and time zones, with a focus on supporting schedules aligned to Pacific Time.
• Handle additional office purchasing and supply ordering needs as business priorities are confirmed.

Qualifications:

• At least 1 year of experience in a front desk, reception, office coordination, or administrative support role.
• Strong ability to manage multiple priorities, including reception coverage, scheduling, and workplace support tasks.
• Experience handling inbound calls, directing phone traffic, and working with multi-line phone systems or switchboards.
• Comfortable using Microsoft Office applications for scheduling, communication, and general administrative work.
• Ability to coordinate meetings, conference calls, and office events with close attention to timing and detail.
• Strong communication skills and a customer-service mindset when interacting with employees, visitors, and vendors.
• Proven ability to maintain an organized office environment and respond effectively to changing daily needs.

Compensation

$24.70-$28.60 Hourly
