Project Administrator
We are looking for a detail-oriented Project Administrator to support daily business operations and help keep project activities organized and on track in Saratoga Springs, New York. This position works closely with leadership and cross-functional teams to coordinate documentation, maintain schedules, and improve the flow of internal information. The ideal candidate brings strong administrative experience, sound judgment, and the ability to manage multiple priorities in a fast-moving environment.
Responsibilities:
• Coordinate administrative activities for operational teams and leadership, ensuring assignments are completed accurately and within expected timelines.
• Organize, maintain, and track project files, submission materials, and supporting documentation for internal and external use.
• Manage calendars, schedule meetings, and monitor important milestones to help teams stay aligned with deadlines.
• Review required documents for completeness and compliance with established standards before submission or distribution.
• Prepare reports, presentation materials, forms, and status updates to support decision-making and ongoing project visibility.
• Maintain electronic and physical records in a structured manner so information is current, accessible, and properly controlled.
• Monitor project activity, updates, and follow-up items, and communicate changes to the appropriate stakeholders.
• Work with colleagues across departments to support workload coverage, shared resources, and consistent administrative processes.
• Handle sensitive information with professionalism and assist leadership with special assignments as needed.
Qualifications:
• Minimum of 3 years of experience in an administrative, project coordination, or similar support role.• High school diploma required; additional education, certification, or related training is preferred.
• Strong organizational skills with a high level of accuracy and close attention to detail.
• Ability to balance multiple responsibilities, prioritize effectively, and meet deadlines with limited supervision.
• Clear written and verbal communication skills with the ability to work effectively across teams.
• Proficiency with Microsoft Office and general office software, including document, spreadsheet, and reporting tools.
• Experience maintaining confidential records and exercising discretion in a workplace setting.
• Familiarity with data queries, data manipulation tasks, Microsoft Access queries, or related database support is a plus.
Compensation
