Intake Coordinator
Responsibilities:
• Examine incoming orders, applications, and supporting documents to confirm all required information is present and accurate before processing
• Enter, update, and maintain records across internal databases, content management systems, and administrative tracking tools
• Investigate incomplete, conflicting, or incorrect information and follow up with customers or internal partners to secure clarification
• Communicate professionally with clients and team members regarding status updates, documentation needs, and intake-related questions
• Support daily intake workflows tied to operational, shipping, receiving, or production-related activities as needed
• Maintain organized files and audit-ready documentation to support accurate recordkeeping and smooth handoffs between departments
• Partner with cross-functional teams to help keep requests moving through each stage of the process without unnecessary delays
• Provide general administrative assistance that supports department efficiency and consistent customer satisfaction
Qualifications:
• At least 2 years of experience in intake coordination, administrative support, order processing, customer service, or data entry• Strong attention to detail with the ability to review documentation carefully and spot discrepancies quickly
• Ability to manage multiple priorities in a fast-paced production or operations environment
• Clear written and verbal communication skills with a dependable and detail-focused approach
• Experience working with multiple systems, including databases, content management systems, or similar platforms
• Solid organizational and time-management skills with the ability to follow structured processes
• Proficiency with Microsoft Office applications such as Outlook, Word, and Excel
• A team-oriented mindset and willingness to learn new tools, procedures, and intake workflows
Compensation
