Receptionist
Responsibilities:
• Manage the front desk and greet visitors in a courteous, attentive manner while directing them to the appropriate contacts or meeting areas.
• Handle a multi-line phone system, respond to inbound calls promptly, and route inquiries accurately to support efficient communication across the office.
• Receive, sort, and distribute incoming mail and packages, including certified deliveries and shipments sent through major carriers such as FedEx and UPS.
• Prepare outgoing mail and coordinate courier or shipping needs to ensure timely delivery of documents and materials.
• Monitor shared email communications and respond or escalate messages as needed to maintain consistent follow-up.
• Support invoice-related administrative work by entering records, coding documentation, identifying discrepancies, and assisting with approval tracking.
• Maintain organized digital files and office documents using tools such as Google Docs and Google Drive for easy access by internal stakeholders.
• Track office supply levels and place orders as needed to keep the workplace stocked and operating efficiently.
Qualifications:
• Prior experience in a receptionist, front desk, or administrative support role.• Ability to manage a high volume of phone calls while maintaining accuracy and a courteous approach.
• Comfortable handling mail distribution, shipping coordination, and courier-related tasks.
• Working knowledge of invoice entry, coding, and general accounts payable support activities.
• Proficiency with Google Docs, Google Drive, email, and other standard office technology.
• Strong written and verbal communication skills with a customer-service-oriented approach.
• Excellent organizational skills and attention to detail when managing multiple responsibilities.
• Ability to work independently, prioritize tasks effectively, and maintain confidentiality in an organized office environment.
Compensation
