Sr. Executive Assistant
Responsibilities:
• Direct and optimize a senior executive’s schedule by balancing priorities, safeguarding focus time, and ensuring critical meetings align with business goals.
• Manage executive communications by reviewing incoming messages, preparing responses when appropriate, and helping maintain timely follow-up on key matters.
• Organize meeting cadence for leadership activities such as staff sessions, one-on-ones, skip-level discussions, town halls, and operational reviews.
• Develop agendas, assemble pre-read materials, capture decisions, and monitor action items so meetings result in clear next steps and accountability.
• Coordinate domestic and international travel arrangements, build realistic itineraries, and address disruptions quickly to minimize impact on business plans.
• Oversee expense-related processes in accordance with company policy, including Concur submissions, approvals, and other routine purchasing support within established guidelines.
• Prepare daily briefing materials, decision support documents, and meeting logistics such as room coordination and technology readiness.
• Provide selective support to an additional executive leader through calendar coordination, travel planning, and task execution based on organizational priorities.
• Help maintain operational discipline by tracking deadlines, facilitating business rhythms, and supporting administrative workflows tied to purchase orders, statements of work, or budget-related activities when needed.
Qualifications:
• At least 3 years of experience supporting senior executives within a complex, high-volume, and fast-paced business environment.• Advanced proficiency with Microsoft Outlook, Teams, SharePoint, Word, Excel, and PowerPoint.
• Hands-on experience with Concur for travel and expense administration; familiarity with Power BI is a plus.
• Demonstrated strength in calendar management, executive meeting coordination, and multi-step travel planning.
• Excellent written communication skills with the ability to draft effective email correspondence in an executive voice.
• Sound judgment, discretion, and the ability to make well-reasoned decisions when information is limited or priorities shift quickly.
• Comfort using AI platforms for drafting, summarization, and synthesis to improve efficiency and communication quality.
Compensation
