Office Assistant
We are looking for a dependable Office Assistant to support a public-facing local office. This contract position is ideal for someone who enjoys helping community members, managing front desk activity, and keeping daily administrative tasks organized. The role includes assisting visitors and callers with general program-related questions, directing inquiries to the appropriate resources, and providing steady clerical support in a fast-paced environment. Responsibilities:
- Welcome visitors at the front desk and provide attentive support to individuals seeking information about services.
- Respond to incoming calls and walk-in questions by sharing general guidance and connecting people with the appropriate programs or departments.
- Direct clients to available community resources based on their needs while maintaining a courteous and service-oriented approach.
- Transfer specialized inquiries, including questions or case-specific matters, to the correct team for further assistance.
- Manage changing service levels throughout the day, balancing periods of high public traffic with routine office support duties.
- Scan, organize, and upload documents accurately into agency recordkeeping systems.
- Provide general administrative assistance such as clerical support, document handling, and front office coordination.
- Use office systems to support daily operations related to their services.
Qualifications:
- Previous experience in a receptionist, front desk, or office support role.
- Strong verbal communication skills with the ability to assist the public clearly and professionally.
- Ability to handle inbound calls, in-person inquiries, and shifting priorities throughout the workday.
- Experience with clerical tasks such as scanning, filing, and document management.
- Comfortable working with software systems.
- Strong organizational skills and attention to detail in a busy administrative setting.
- Ability to maintain professionalism and patience when assisting individuals with sensitive questions.
