Office Manager

Compensation: $25.65 to $29.70 Hourly

We are looking for an organized Office Manager to support daily administrative and financial operations. This contract-to-permanent opportunity is ideal for someone who can balance office coordination with accounts payable tasks while keeping workflows accurate and efficient. The role calls for a proactive, detail-oriented individual who is comfortable managing routine business functions, assisting with project setup, and helping maintain a well-run office environment.

Responsibilities:
• Process vendor invoices, prepare payment information, and help coordinate weekly disbursements with accuracy and timeliness.
• Review and record monthly statements from major suppliers, ensuring charges are entered correctly and reconciled against supporting documentation.
• Create and maintain records for newly awarded jobs in the company system so project information is organized from the start.
• Handle incoming mail, sort correspondence, and distribute documents to the appropriate team members promptly.
• Monitor office inventory levels and purchase workplace supplies to keep day-to-day operations running smoothly.
• Perform routine statement reconciliation and investigate minor discrepancies to support accurate financial records.
• Provide front-office and general administrative support, including assisting with receptionist-related duties as needed.
• Support document organization efforts related to paperless recordkeeping as part of ongoing office processes.

Qualifications:

• Experience in office administration, office management, or a similar business support role.
• Working knowledge of accounts payable processes, including invoice entry, payment coordination, and statement review.
• Ability to manage office supply ordering and maintain appropriate inventory levels.
• Strong organizational skills with attention to detail in both administrative and financial tasks.
• Comfortable handling mail distribution, front-desk support, and other general office responsibilities.
• Proficiency with basic business software and data entry systems.
• Clear communication skills and the ability to work effectively with internal staff and external vendors.

Compensation

$25.65-$29.70 Hourly
