Office Administrative Assistant
A growing sports apparel and lifestyle brand in Encinitas is seeking an Office Administrative Assistant to support accounting operations, purchasing activities, and general office administration. This role is perfect for someone who enjoys a mix of administrative and accounting-related responsibilities while working in a creative and energetic business environment.
The ideal candidate is highly organized, detail-oriented, and comfortable supporting multiple departments while maintaining accurate records and documentation.
Responsibilities
Accounting & Purchasing Support
- Enter vendor invoices into the accounting system
- Perform AP data entry and invoice coding
- Assign General Ledger account codes accurately
- Process and maintain purchase order records
- Assist with vendor setup and documentation management
- Reconcile invoice information and supporting documentation
- Support month-end accounting processes and reporting
Administrative & Office Operations
- Manage office supply ordering and inventory
- Maintain filing systems and company documentation
- Assist with data entry, reporting, and administrative projects
- Coordinate incoming mail, shipping, and package distribution
- Support leadership with scheduling and operational tasks
- Assist with special projects across departments
Qualifications:
- 2+ years of administrative or accounting support experience preferred
- Experience with accounts payable processing and GL coding required
- Strong Microsoft Excel and data entry skills
- Experience with QuickBooks, NetSuite, Sage, or similar accounting software preferred
- Excellent organizational and multitasking abilities
- Strong attention to detail and follow-through
Compensation
