Office Services Associate
Responsibilities:
• Manage incoming office service requests by reviewing work details, confirming instructions, and documenting tasks accurately before production begins.
• Provide day-to-day support across copying, printing, scanning, mail handling, intake, and other administrative service functions in both physical and digital formats.
• Organize assignments based on urgency and service commitments to ensure completed work is delivered within established turnaround times.
• Maintain clear communication with clients, supervisors, and team members regarding deadlines, job status, and any issues that may affect completion.
• Perform basic troubleshooting on office equipment and replenish paper, toner, and other supplies to keep machines operational.
• Check completed work for accuracy and presentation, and contribute to quality control efforts for both individual and team output.
• Follow workplace policies, operational procedures, and client-site guidelines while using materials and equipment responsibly and efficiently.
• Assist with additional support services such as reception, hospitality, or audio/visual coordination as business needs require.
• Handle boxes, files, and production materials as part of daily operations, including regularly moving items weighing up to 50 pounds.
Qualifications:
• High school diploma or equivalent required.• At least 1 year of experience in office services, copy center operations, mail services, or a similar administrative support role, preferably within a legal, banking, or corporate setting.
• Demonstrated ability to deliver strong customer service and build positive working relationships with clients and colleagues.
• Familiarity with standard back-office procedures, including document handling, scanning, logging, and mail or reprographics support.
• Strong organizational skills with close attention to detail and the ability to manage multiple priorities under deadline.
• Ability to work with sensitive or confidential information while exercising discretion and sound judgment.
• Comfortable working independently and as part of a team, with the ability to identify issues and escalate concerns when appropriate.
• Able to work in a fast-paced environment and perform physical tasks, including lifting materials up to 50 pounds regularly.
